COVID-19 Considerations  

The Milken Institute (“the Institute”) considers the health and safety of all those onsite at South Florida Dialogues 2022 as our top priority. We are committed to building this event safely during public health-related challenges. To accomplish this goal, however, we need all participants, including attendees, guests, volunteers, staff, and partners, to do their part as well, as described below. 
 
These considerations will continue to evolve along with federal, state, and local sources of law and regulation.  
 
The Institute intends to take the following safety precautions (all of which are subject to change as conditions evolve) and will require all attendees’ cooperation with these measures as applicable:  

  • Require confirmation of vaccination; booster shots are strongly recommended* 

  • Complimentary rapid testing will take place onsite at each event – please plan to arrive 15 minutes early. While we prefer testing takes place onsite with our clinical partner, we will accept same-day certified test results that clearly identify the individual’s name, birth date, day of the test, and signed by a third-party clinician. 

  • Provide new KN95 masks, available each day, as a personal convenience 

  • Ensure hand sanitizer stations are located throughout the venue with easy access

Personal Accountability Commitment  

By choosing to attend the South Florida Dialogues and executing our COVID-19 Safety Acknowledgement, you agree to abide by and engage in certain beneficial health and safety conduct while attending the event. This includes, but is not limited to, providing confirmation of vaccination, following all safety guidelines as set forth in this document and as may be required by law, and not attending the event if you are ill or have been recently exposed to COVID-19.
 

Duty to Self Monitor

Guests should continue to follow South Florida Dialogues health and safety protocols throughout the weekend while attending events and meetings sponsored by the Institute or sponsored by another organization or a private individual.  
 
Participants, including attendees, guests, staff, partners, and volunteers agree to self-monitor for signs and symptoms of COVID-19 (symptoms typically include fever, cough, and shortness of breath) and, contact the Institute at [email protected] if they experience symptoms of COVID-19 within 5 days after participating or volunteering with MI.* 
 

Additional Event Health and Safety Protocols  

Oversight and Training

  •  A third-party health authority will lead training and communication efforts with our hosts, production staff, and event management partners, including management of escalation protocols with the Institute staff. 

  • Institute staff will be required to complete training on appropriate social distancing and new methods to greet guests. 

  • Event partners, and MI staff will be required to complete training on appropriate ways to cover coughs and sneezes pursuant to CDC guidelines. 

  • Appropriate personal protective equipment for each position will be provided to hotel and event staff pursuant to CDC guidelines. 

  • Hotel employees will be required to follow scheduled mandatory hygiene and sanitizing guidelines. 
     

Guest Relations 

  • Guests will be required to confirm vaccination prior to entering the event venue.*  

  • Please do not congregate in small spaces or disrupt the movement of event attendees. 

  • Wash hands frequently for a minimum of 20 seconds. Hand sanitizing stations are also available. 
     

Event Space Guidelines 

  • Events will take place outdoors whenever possible. 

  • Hand sanitizer will be available outside of all scheduled or occupied event spaces. 

  • There will be frequent cleaning and sanitizing of utilized areas, with attention paid to high-touch points. 

  • Entry doors will be set in an open position to reduce guest contact with hard surfaces. 

  • Seating in meeting rooms and at banquet tables may be spaced apart to create social distance. 
     

Food and Beverage Service  

  • Hand sanitizing stations to be available inside meal rooms and locations. 

  • All break items to be packaged or individually plated. 

  • Plated meals will be in lieu of buffet or self-service functions. 

  • Boxed meals and pre-packaged food offerings can be available. 

  • Beverage and water stations available with an attendant. 
     

Event Partners 

Vendors must comply with Institute health and safety protocols and applicable operating standards. 

  • Vendors’ staff must sanitize hands upon arrival and wear appropriate face masks. 

  • Updated vendor agreement will reference Institute health and safety protocols and operating standards. 
     

*Privacy Notice  

As a participant, whether as an attendee, guest, volunteer, or partner, you recognize that your participation, involvement, and/or attendance at any Milken Institute conference, meeting, fundraising event, or activity may result in some data collection, containing but not limited to: your name, email address, confirmation of vaccination status including a copy of your vaccination card, and daily no-contact temperature scanner readings. Your health data are captured on a secure third-party, HIPAA-compliant, mobile app. The data are not accessible by Milken Institute staff and are deleted after the conference. Any information sent to [email protected] alerting to a positive COVID diagnosis will only be used for contact tracing purposes and will remain confidential of any identifying elements such as name, email, company, etc
